Know what belongs in the Portal and what needs administration.

Use My Music Staff for routine information and absence reporting. Contact GSofM administration for access problems, corrections, payment arrangements, credits, refunds or account decisions.

Open the family account to view the current lesson calendar, check available invoice information and record a known student absence against the correct lesson.

  • Portal access problems or incorrect schedule entries.
  • Invoice corrections, payment arrangements or account queries.
  • Credits, refunds, timetable changes or cancellation decisions.
  • Questions requiring interpretation of school policy.

Tutors can receive practical lesson messages, but formal account and timetable decisions remain with GSofM administration.

Report an Absence

Record a known student absence against the correct lesson.

Use the Student Portal as soon as the absence is known. Selecting the actual lesson keeps the calendar accurate and informs both the school and tutor.

    Open the GSofM My Music Staff Student Portal using the family account.

    Open Calendar

    Go to Calendar and locate the lesson the student will be unable to attend.

    Select the lesson

    Open the specific lesson entry so the absence is attached to the correct date and time.

    Cancel and add a note

    Choose Cancel, then add a short note for the school and tutor before confirming.

These are planned non-teaching periods already shown in the Parent Information Centre and annual calendar.

The scheduled lesson remains reserved

Student non-attendance during a Teaching Block is not credited, refunded or automatically rescheduled.

School or tutor cancellation

Handled under separate provisions

The applicable replacement, credit, refund or carry-forward process is governed by the Terms & Conditions.

Discretionary make-up process: where a student absence is recorded through the Student Portal at least seven days in advance, GSofM may place the student on a discretionary make-up waiting list, subject to tutor, room and timetable availability. Any offer must normally be accepted within 72 hours and taken within 28 days of the original absence; published Christmas, Spring and Summer closures are excluded when calculating that period. This is not an entitlement. Formal attendance and cancellation provisions remain in the Terms & Conditions.

Payments & Direct Debit

This page keeps the essential payment routes close at hand. The Parent Information Centre holds the annual calendar, the Fees page holds published pricing and account-specific decisions remain with GSofM administration.

Teaching Block payment

Payment is due by the published deadline

Payment, or an approved written arrangement, must be in place by the published deadline. Otherwise, lessons are placed on hold from the first teaching day of the relevant Teaching Block until the account is brought up to date.

A two-instalment arrangement may be available by written request before the payment deadline. It is subject to school approval and a £10 Instalment Arrangement Administration Fee.

Direct Debit

Authorise future collections securely

The secure GoCardless form should be completed by the person responsible for paying the student’s invoices. Once authorised, the mandate may be used to collect future payments due to The Glasgow School of Music.

Set Up Direct Debit
Already-issued invoices: completing the Direct Debit mandate does not automatically pay an invoice that has already been issued. Unless GSofM confirms that the invoice will be collected by Direct Debit, it must still be paid using the payment instructions shown on the invoice by the stated due date.

Tutor messages: tutors can receive practical messages about a lesson, but they cannot approve account changes, credits, refunds, cancellations or payment arrangements on behalf of the school.

Where do current students log in?

Current students, parents and carers can sign in through the GSofM My Music Staff Student Portal.

What can I do in the Portal, and what requires administration?

Use the Portal to check schedules, view available invoice information and record a known absence. Contact GSofM administration for access problems, incorrect entries, payment arrangements, credits, refunds, timetable changes or policy decisions.

How do I report an absence?

Sign in to the Student Portal, open Calendar, select the affected lesson, choose Cancel and add a short note. Reporting an absence keeps the school informed but does not create a credit, refund or replacement lesson.

Are student absences credited, refunded or rescheduled?

No. Student absences during scheduled Teaching Block lessons are not credited, refunded or automatically rescheduled. The attendance section above summarises the discretionary make-up process; the formal provisions remain in the Terms & Conditions.

What happens if GSofM or the tutor cancels?

School or tutor cancellations are separate from published closures and student absences. The applicable replacement, credit, refund or carry-forward provisions are set out in the Terms & Conditions.

Where can I find lesson schedules and invoices?

Current lesson schedules, bookings, invoices and available account information can be checked through My Music Staff. Contact GSofM if an entry appears incorrect.

What should I do if I cannot access the Student Portal?

Contact GSofM administration with the student’s name, parent or carer name, tutor, normal lesson day and time, and a clear description of the login or account-access problem.

Can my tutor approve a credit, refund or account change?

No. Tutors can receive practical lesson messages, but payment arrangements, credits, refunds, cancellations and account changes must be reviewed by GSofM administration.

Where can I find Teaching Block dates and payment deadlines?

The Parent Information Centre and GSofM Key Dates Summary contain the published Teaching Block dates, closures, invoice dates, payment deadlines and lesson-hold dates.

Where can I find instalment and fortnightly tuition information?

Use the Parent Information Centre and Lesson Lengths & Fees page for the current published position. A two-instalment arrangement may be available by prior written request and carries a £10 Instalment Arrangement Administration Fee. Any account-specific instalment or fortnightly arrangement must be approved by GSofM administration.

How do I set up Direct Debit?

The person responsible for paying the student’s invoices should complete the secure GSofM GoCardless form. Once authorised, the mandate may be used to collect future payments due to The Glasgow School of Music.

Does setting up Direct Debit pay an existing invoice?

No. Completing the mandate does not automatically pay an invoice that has already been issued. Unless GSofM confirms that it will be collected by Direct Debit, the invoice must still be paid using its stated payment instructions by the due date.

What should I do if I have a safeguarding concern?
